General Conditions of Hire
The Hirer shall ensure that the ONLY footwear permitted for use on the 3G surface are astro turf shoes and trainers.
Under NO circumstances will blades (including rubber ones) , normal/metal studs or spikes be allowed on the 3G surface.
Payment for a single booking or a weekly block booking must be paid in full prior to first use of the facility.
Payments must be received by the VOC's offices prior to close of business (4.30pm) no later than on the day of first use.
Should a payment not be received prior to scheduled use, the Hirer will be refused access to the facility.
No payments will be taken immediately prior to the use of the facility.
The Hirer will be responsible for supervising the behavior of persons using the premises and must ensure that all
players / participants wear appropriate shin-guards / pads.
In no circumstances will the VOC accept responsibility for the loss, theft, or damage of or to any goods or property of the
Hirer or any visitor to the premises.
At the end of the hiring, the Hirer shall be responsible for leaving the premises in a clean and tidy condition, with any
equipment temporarily removed from their usual positions properly replaced under supervision from the site attendant.
If the Hirer wishes to cancel a booking before the date of the event, the question of the repayment of any fees
shall be at the discretion of the VOC. However, sessions are non-refundable unless cancelled by VOC.
In the event of the facility or any part thereof being rendered unfit for the use for which it has been hired, the VOC shall not
be liable to the Hirer for any resulting loss.
The VOC reserves the right to refuse a booking without notice or to cancel this hiring agreement at any time either before or
during the term of the agreement upon giving 7 days notice in writing to the Hirer.
Use of foul or abusive language will not be tolerated and may lead to the club/group concerned being barred from future use of
the AGP or other facilities
Do not leave any litter anywhere on the premises – use the bins or take it home – otherwise a charge for cleaning will apply
In the event of a major fixture such as a league tournament taking place on the VOC's grass pitch, the facility must be cleared 15 minutes
prior to any scheduled Kick Off time. In instances where fixtures coincide with a block booking, alternative arrangements will be made where
possible, with minimum 7 days notice given. At all times, priorities will be given to block bookings.

The Hirer shall not use the facilities for any purpose other than that described in the hiring agreement and shall not sub-let
the premises. They shall not do, or bring onto the premises anything, which may endanger the premises or render invalid any
insurance policies relating to the premises.
The Hirer shall indemnify the VOC for the cost of repair, of any damage done, to any part of the facility or of any associated
equipment, which may occur as a result of the hiring.
If you move any goals etc then please return them to their original positions before the end of your hire time.
The hirer should ensure a changeover of maximum 5 minutes with the team which is supposed to use the pitch next.
Be mindful of our neighbours! The pitch has many close neighbours with houses and gardens adjoining our premises.
Please could you and your club members endeavor to keep noise to a minimum, both when using the facility and when
entering/leaving the car park areas.
All footwear must be 'spotlessly' clean before entering pitch area:
The goal posts on the small sided pitch are fixed and cannot be moved.
No tobacco, alcohol, gum & miraa chewing is permitted.
The VOC member booking should carry their ID for verification purposes failure to which they will not be allowed to use the facilities
and no refund will be provided.
The VOC member booking should be present during the allocated playing time.

REPORTING AN ACCIDENT
Considering the nature of activities it is inevitable that minor accidents may occur from time to time, therefore it is important
that all hirers are familiar with established methods for reporting accidents.
VOC follows the accident procedure laid out by the Community's Health Safety Policy, and so any accidents must be reported
at the time of the incident to the Site Attendant in charge.

The Site Attendant will have blank Accident Forms available. These forms should be completed by the group leader giving full,
exact details of the accident and providing additional witness testimonies if deemed necessary.
Please note that if there are subsequent developments e.g., the injured person receives hospital treatment related to the
incidents, then this information must be phoned through to the VOC Office, who can be contacted on +254 725 339 801 the following
day during the hours of 9.00am to 4.30pm.
The use of the facilities or any parts thereof is entirely at the risk of the hirer and VOC accepts no responsibility for any loss,
claims, actions, demands, proceedings or costs arising out of any claims made by the hirer or against the hirer by a third party.
The hirer shall indemnify VOC against any such claims, actions, demands, proceedings or costs which may be brought against VOC
arising out of or incidental to the hire of the facilities and equipment.
